1. Agreement to These Terms
These Terms of Service (the “Terms”) govern your access to and use of SuiteSteward and the Oyhut Bay Operations platform (together, the “Service”) operated by Olympic Prints, LLC (“Olympic Prints,” “we,” “us,” or “our”). By creating an account or using the Service, you agree to these Terms. If you are entering into these Terms on behalf of an organization, you represent that you have authority to bind that organization.
If you do not agree, you may not use the Service. We may update these Terms from time to time as described in Section 16.
2. The Service
SuiteSteward is a property operations platform — property management, reservations reconciliation, housekeeping, maintenance, inspections, universal QR inventory, dining and concierge, events and common areas, construction lifecycle, concierge experiences, reporting, and related workflows — for short-term rental managers, hotels, resorts, HOAs, and similar hospitality operators. The Service is deployed and configured by Olympic Prints Business Solutions, not handed off as a self-serve tool, though your organization operates its own workspace.
The Service defaults to Core Launch Mode: all optional external integrations are off by default, and core operations remain fully functional with no external connections active.
3. Eligibility and Accounts
You must be authorized to access the Service by an organization's administrator, and you must provide accurate information when invited and during onboarding. You are responsible for keeping your credentials confidential and for activity under your account. Notify us promptly of any unauthorized access or suspected breach.
Organizations are provisioned through invitation and configuration by Olympic Prints Business Solutions. Each organization's data is isolated to that organization under role and tenant access controls described in our Privacy Policy.
4. Subscription, Billing, and Payment
Paid plans, add-ons, and overages are billed through Stripe, Inc. By subscribing, you authorize us (through Stripe) to charge your payment method for the plan and billing period you select, plus any applicable proration, overage, or add-on charges until you cancel.
- Plans are offered on monthly or annual billing intervals, as shown at sign-up.
- Overages may apply when your usage exceeds your plan limits, at the overage rates shown for your plan.
- Promotions, if any, apply on the terms and validation windows we publish.
- Founding Pilot terms, if applicable to your organization, govern the pilot period and conversion.
- Taxes are added where required by law.
Prices are subject to change for future billing periods with notice. To change or cancel a subscription, contact us or use the controls in the Service. Cancellation stops future billing; amounts already paid are governed by the refund terms below.
5. Refunds and Renewals
Annual subscriptions renew on their anniversary. Monthly subscriptions renew each month. You may cancel before a renewal to avoid the next charge. Refunds are handled on a case-by-case basis by Olympic Prints, LLC; contact us through Section 15 to request a review. We are not obligated to refund amounts for periods already used.
Failed payments may result in a grace period and eventual suspension. If your account is suspended for nonpayment, access to the Service is paused until payment is resolved or the organization is cancelled.
6. Acceptable Use
You agree not to:
- Use the Service in a way that violates any law or third-party right;
- Access or attempt to access data outside your organization or beyond your assigned role;
- Interfere with the Service's security, integrity, or availability;
- Use guest contact or guest portal information for purposes outside the legitimate hospitality use of the Service;
- Reverse-engineer, scrape, or overload the Service except as permitted;
- Upload content that is unlawful, infringing, or that you do not have rights to upload;
- Circumvent billing, role enforcement, or audit logging.
A violation may result in suspension or termination of your account or organization, as described in Section 14.
7. Account-Free Guest Portal
The Guest Portal is account-free and verifies guests by a combination of reservation number, last name, and arrival date — no password is created. The organization using the Service is responsible for the accuracy of the reservation data used to verify guests, and for revoking portal access when a reservation changes or ends.
Guests may access only the property guide, credentials, notices, and channels scoped to that reservation. Guests should contact the host organization first for reservation issues; SuiteSteward provides the portal as a convenience and is not a party to the reservation contract between a guest and the host organization.
8. Your Content and Operational Data
You retain ownership of the content and operational data you provide to the Service (your “Content”). You grant Olympic Prints a worldwide, non-exclusive license to host, use, process, and display your Content as needed to operate the Service for your organization.
You are responsible for ensuring you have the rights to upload your Content and for any guest or third-party consents your operation needs to process that data lawfully. When you leave the Service, you may export your Content during the applicable retention window, after which we may delete or anonymize it under our Privacy Policy.
9. Intellectual Property
The Service — including its branding, software, templates, and design elements — is owned by Olympic Prints, LLC and its licensors, and is protected by intellectual property laws. These Terms do not grant you any rights to the Service beyond the limited access described here.
SuiteSteward and related marks are trademarks or trade names of Olympic Prints, LLC. Your organization's name, logo, and materials you upload remain your property.
10. Optional Integrations
The Service supports optional third-party integrations (for example, email, messaging, storage, maps, and printing integrations). Integrations are off by default. When an administrator connects an integration, data is exchanged as necessary to perform that integration on your behalf, under the third party's own terms and privacy policy.
Olympic Prints is not responsible for the conduct of third-party services your organization chooses to connect. If a third party changes access or conditions, affected features may degrade until the integration is reconfigured or replaced.
11. Support and Configuration
Olympic Prints Business Solutions provides configuration help, data import, and workflow design as part of onboarding and ongoing support. The scope of supported configuration depends on your plan. We may offer support sessions and access to diagnostics to help your organization, bounded by your role and organization scope.
12. Disclaimers and Warranty
The Service is provided “as is” and “as available” to the extent permitted by law. We do not warrant that the Service will be uninterrupted or error-free, or that it will meet your specific operational requirements without configuration.
Where permitted by law, we disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement. Your organization is responsible for configuring the Service to match its operational, legal, and safety obligations.
13. Limitation of Liability
To the extent permitted by law, in no event will Olympic Prints, LLC be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, reservations, or data, arising out of or related to the Service, whether in contract or tort.
To the extent permitted by law, our aggregate liability for claims related to the Service is limited to the amount your organization paid us during the twelve months preceding the event giving rise to the claim, or the minimum amount required by law, whichever is greater.
Some jurisdictions do not allow these limitations, so they may not apply to you at the extent they are prohibited by law.
14. Suspension and Termination
You may cancel your account or organization by contacting us. We may suspend or terminate access if your organization or a user violates these Terms, fails to pay when due, or creates a security or integrity risk. On termination, your access ends and your Content is retained or deleted under our Privacy Policy and its retention window.
Provisions that by their nature should survive termination — including ownership, Confidentiality, disclaimers, liability, and governing law — continue to apply.
15. Governing Law and Disputes
These Terms are governed by the laws of the State of Washington, USA, without regard to its conflict-of-laws principles. You and Olympic Prints submit to the exclusive jurisdiction of the state and federal courts located in Grays Harbor County, Washington, for disputes arising out of or related to the Service, except where a mandatory dispute-resolution law requires otherwise.
Before filing a claim, you agree to first contact us in good faith to resolve the matter. Where permitted, informal dispute resolution is preferred over litigation.
16. Contact and Changes to These Terms
We may update these Terms from time to time. When we make material changes, we will revise the “Last updated” date and, where appropriate, notify organizations through the Service. Continued use after a change confirms your acceptance of the revised Terms.
